For more information click on our E-Verify website.   Requisition No: 353163  Agency: Florida Fish and Wildlife Conservation Commission (FWC) Working Title: OPS ADMINISTRATIVE ASSISTANT II – 77907552 1 1 Position Number: 77907552  Salary:  $16-$20/hour – depending on experience  Posting Closing Date: 04/20/2021   Open Competitive Opportunity  The successful candidate will be a key team member of the Research Operations (RO), Administrative Services (AS) Section, assisting in the administration of business operations for the Fish and Wildlife Research Institute (FWRI). Duties include, but are not limited to: Assist AS Manager with hiring actions, tracking performance reviews, and track and follow up on staff assignments. Coordinate staff training activities. Maintain and process payments for Verizon and AT&T cell phone monthly billings. General office duties: process incoming and outgoing mail; schedule and coordinate meetings; maintain AS Manager calendar; maintain supplies, maintain clean work environment, file, copy and answer phones, and fax documents, as needed. Coordinate and prepare travel and travel arrangements, as needed. Assist AS Manager with section property list accuracy and create SPD and/or PTR, as needed. Serve as the People First timekeeper for the RO Section. Purchasing duties for AS, HR, and Director’s Office: order office supplies and equipment, receive merchandise, process requisitions, and prepare invoices for payment. Maintain and track perquisite orders for AS section and sunglasses for FWRI.  As PCard delegate, enter section APR charges and ensure timely submission. Assist with the preparation of the AS and Director’s budget and track spending.  Responsible for tracking FLAIR and prepare budget-related reports including monthly expense reports on section budget; prepare and handle all expenditure move memos for the AS section. Assist in the upkeep of AS SharePoint sites. Maintain forms management for the section which includes; create or update forms; produce and maintain hard copies of current forms; and maintain current forms and instructions on the network; as needed. May be required to represent supervisor at administrative meetings.  Assist AS Manager with other assigned duties as required.   MINIMUM QUALIFICATIONS: A bachelor’s degree from an accredited college or university and two years of administrative experience; or A master’s degree from an accredited college or university can substitute for one year of the required experience; or Administrative or clerical experience can substitute on a year-for-year basis for the college education.  Preference may be given to those candidates who have: Knowledge of and experience with current State of Florida purchasing rules and regulations. Florida FLAIR and MFMP experience highly desirable. Knowledge and experience with budgets and budget tracking.    ENTRY LEVEL KNOWLEDGE, SKILLS AND ABILITIES REQUIRED: Knowledge of: generally accepted administrative practices and procedures and basic bookkeeping practices.  Ability to: effectively solve problemsresearch and collect data; prepare reports; work independently and take initiative, follow direction; understand and apply rules, policies and procedures; communicate effectively verbally and in writing; establish and maintain effective working relationships individually as well as on a team.  Skill in: the use of personal computers, email, spreadsheet and word-processing software; planning and organizing work; attention to details, following through in a timely manner, exceptional customer service and handling multiple tasks.  **This position requires the candidate to successfully pass a level 2 background check prior to starting employment.  There is no cost to the candidate for the background screen.  WHAT IS OPS EMPLOYMENT?  Other Personal Services (OPS) temporary employer/employee relationship used solely for accomplishing short term or intermittent tasks.
